Invite an existing Databox user to login/join another Databox account

Currently, it is not possible for a Databox user to log in/join another Databox account with the same email address.

We want to be able to invite existing Databox users to other Databox accounts, rather than having different email addresses to access each. This would allow us to login to multiple Databox accounts using 1 set of credentials

Use Case:
We want to allow John from a professional services firm (e.g. marketing agency, accountant, freelance writer) to access our Databox account. However, since John’s email address is already being used in another Databox account, it is not possible for him to join my account with the same email address.

Currently, John has to create multiple email addresses/ aliases to join several Databox accounts, which is a time-consuming practice that requires technical resources as well. Therefore, having the ability to invite existing Databox users to login/join other Databox accounts with the same email addresses will be a valuable feature to have.

This is the current process for inviting an existing Databox user to login/join another Databox account:

Currently, if a user already has an active Databox account, you are getting an error ''User with this email already exists'' when trying to add a user with the same email address to another Databox account.
Some email providers allows you to create/use aliases, which helps you to overcome this limitation
(help.databox.com/article/142-how-to-add-a-user-that-already-exists-in-the-databox-system).

It would be great having the ability to invite an existing Databox user to view/edit the account and Databoards that have been set up by for example an agency.
This way, the agency wouldn't be facing any challenges with receiving an error ''User with this email already exists'' and checking with user if he already has any active Databox account (in some cases users creates accounts by a mistake but are not aware of it, or want to have a separate account for any testing, etc.).
This improvement would eliminate additional back and forth communication between agency and client (and Databox support), including using the same email address with multiple Databox accounts when email providers are not supporting aliases.

This is a big roadblock, because when you have multiple agency employees working on Databoards for all the Client Accounts, the agency employees need a separate login for every client. This does not work well at scale for client reporting.
Can you make it so that any employee with Editor role in the Agency Account have access to all the Client Accounts?

Hi,

Thanks for sharing your feedback.

On the Client page > Client Accounts, you can manage which users from the Agency Account have access to individual Client Accounts (see example screenshots).

Does this help?

Hi Kari,

Thanks for reaching out.

Can you please elaborate more on your use case in order for us to better understand it?
Is the intention behind your request to send a 'reminder' to users about existing reporting in Databox?

Thank you.

My specific case is that I have a client that has created her own Databox Account with her work email.
Now, that we have fully set up her Data Sources under our Agency Account, we want her to be able to make her own Databoards as a user in our account. We typically invite clients to keep tabs on their own metrics if they want that level of control, while some clients just let us take the lead.
I want to be able to invite her to view/edit/add Databoards on our account now that she is our client. We always set up all the Data Sources and invite clients to create their own Databoards/Metrics within our account, since we have everything linked in order to maintain any errors/updates for them.

Hi Kari,

Thank you for your clarification.

The way you use your Agency account is the way it's designed to be used.

Regarding your client having her own Databox Account, here are a couple of ways how to overcome this:
- If needed, she can obtain her old account, and you can add her into your account by following these instructions:
help.databox.com/article/142-how-to-add-a-user-that-already-exists-in-the-databox-system.
- If she is not planning to use her old account anymore, she can delete her account by following these steps:
help.databox.com/article/344-overview-plans-and-billing#delete.
After that, you'll be able to add her into your account without a problem.

Does this help?
